I was getting ready for our weekly team meeting when a message arrived from my manager. I nearly missed it because I was busy checking my notes. The first line said that the meeting was moving from ten to eleven. That gave me another hour to prepare. But there was more. A client was joining us, and my manager wanted me to give a short update on the project. I read the message again, more slowly this time. She only needed the main results and one example of a problem we had solved. I left out the extra details and chose a clear example. Then I sent a quick reply to confirm. By eleven, I had everything I needed on one page.

At 10 a.m., Sam receives a message from his manager, Maya. The subject is “Tomorrow’s project meeting”. He opens it and reads:
“Hi Sam, we’re meeting at 9:30 tomorrow to discuss the customer project. Please send me a short update by 3 p.m. today. Include what you’ve finished, what you’re working on and anything that might cause a delay. You don’t need to send the full report. Please also read the notes from our last meeting. The link is below. Thanks, Maya.”
Sam checks the message again before replying. The meeting is tomorrow, but his update is due today. He has two tasks: send the update and read the notes. He puts both in his calendar. Then he replies, “Hi Maya, I’ll send my update by three and read the notes before tomorrow’s meeting.” He keeps his reply short because the request is clear. He does not need to ask a question.
